Practical details for exhibitors
Tables
All tables are 5' wide (1.5m), 30" (0.75m) deep and 30" (0.75m) high. You will have at least 3'6" (1m) behind your table.
Every table includes:
- Drape and signage
- Power outlet (by request)
- WiFi Internet access
- Chairs: 2 as standard, 4 with a double, 1 with a shared
- Top quality food and refreshments throughout the day
Exhibit displays
You may only place free-standing displays behind your table. No part of your display may project beyond your allocated space. Nothing may be hung or supported from the windows, walls or ceilings behind your table. Please ensure that the feet of any stands or furniture you bring are covered with felt or rubber padding to protect the floor.
Please do not encroach into other exhibitors’ space or use any form of projection or sound equipment that interferes with other exhibitors. The organizers reserve the right to require you to remove or make adjustments to any element of your display.
If you have any doubts about what is permissible, please ask ahead of time.
Signage
All tables are draped with a black or gray cloth and have the exhibitor’s name and table number. Table numbers must be clearly displayed on table at all times!
If you wish to represent more than one agency/brand, you must pre-book the option to promote an additional brand. The cost is $200 and includes an additional listing in the show guide, online gallery and Visual Connections directory.
Electricity, Internet & AV kit
You can have an electricity outlet at your table, wifi, and most AV equipment is available for hire. Please refer to the information page for more details and how to order.
Traffic and food
Attendees at Visual Connections are all verified (to the best of our ability) to be professional image/footage/art buyers or researchers. Food and beverages are provided throughout the day for exhibitors and attendees. Attendance will be highest around lunchtime (noon to 2pm).
A limited number of seats and bar tables are reserved for attendees.
Direct product sales
If you sell any products at the event you assume entire responsibility for collecting any applicable state and local sales taxes and paying them to the proper Illinois authorities.
Liability insurance
Neither Visual Connections LLC, nor the owners or management of The Ivy Tree nor the caterer assume any responsibility for any loss, damage or injury incurred by you, your employees or assigns as the result of your company’s participation at Visual Connections Chicago. It is your responsibility to secure proper and adequate insurance to cover any and all such liabilities or eventualities. We strongly recommend General Liability Insurance cover.
